THE BUSINESS PROBLEM

A straightforward task becomes a chain of copy-paste work, reminders and missing handoffs.

A more useful way to work.

Keep routine work moving and make exceptions visible before they become problems.

Designed with boundaries.

Retries, duplicate protection, audit trails and clear ownership are part of the workflow design.

PLAN A USEFUL FIRST SCOPE

What this work needs to succeed.

Use these questions to test fit before committing to a build.

Fit and poor fit

Best for a recurring, understood process with clear rules and an owner. Simplify unnecessary steps first. An existing tool’s native rule or scheduled report may be sufficient; automating an unstable approval policy usually creates more exceptions.

Bring the workflow inputs

Map the trigger, required fields, decision rules, recipients and completion evidence. Include duplicate, late, incomplete and rejected examples. Name the person who can resolve an exception and approve changes.

Define the output and exception path

Specify the record, assignment or notification that counts as completion. Agree visible failure states and retry rules. A successful send is distinct from a recipient acting; manual recovery should avoid repeating an irreversible action.

Access, implementation and cost

Dependencies include source permissions, API/webhook availability, account plans, rate limits, sandbox access and team validation. Branch count, integration count, exception volume and recurring service charges drive cost.

Support and change

Agree ownership of credentials, failed-run review and updates when a source system changes. Maintenance and new workflow branches have different scope; support coverage and cadence are engagement-specific.
